What are notes?

A note (NOTE) is basically text with additional information provided by the submitter for understanding the enclosing data.
A note may be linked with several entities (person, family, source, …) and vice versa.

How are notes documented?

In every entity and almost everywhere in its property structure it could be desired to attach notes, e.g. at a birth or marriage.
There are two variants:

  • as a bare pointer to a note record,
  • as a property containing the text itself, a so-called embedded note (or inline note). In this case no note record is needed.

A note record contains only the note text and additionally source citations.
Note records can be referenced by several other entities. Thus the information needs only to be maintained at one place.
Some programs save all notes as note records.

Embedded notes cannot be referenced from other entities.

How to we handle notes in GenJ?

An entity - person, family, multimedia link, source, or submitter – can be linked with a note via:

  • menu 'Edit' → 'Add Note',
  • Context Menu on our entity anywhere: → 'Add Note',
  • the editor button 'Add Note'.

This creates the pointer to the note. In the selector we select either an existing entity or 'Add Note'. In the latter case we now can immediately enter the text.

A property, e.g. a marriage, we link with a note as well (This is called a subordinated note.) via:

  • context menu of the property → 'Property Marriage' → 'Add Note',
  • the button 'Add note' in the events table at the bottom.

An embedded note is created in GEDCOM mode via context menu of the entity of the property: → 'Add Property' → 'Note (NOTE)'.

An unrelated note we create via context menu anywhere: → 'GEDCOM <file>' → 'Add Note'. We get a hint, that we create an unrelated record. See also 'Unrelated Entities' in GenJ Usage Recommendations.

Notes in the editor

In standard mode we can edit all notes via

  • the button 'Edit Notes',
  • the button 'Edit Notes' in the events table at the bottom.

In GEDCOM mode an embedded note is directly editable. For a note record we have to follow the link.

Notes in the table

All note records are shown in the Table View via the button 'View Notes'.

:-) useful: The list of references shows all the records that reference this note. We can directly jump to them by double-click.

Embedded notes can be shown as well via the button 'Configure view'. For each position of a note in the property structure an own column is necessary.
